Privacy Policy
Whales Exterior Cleaning is the data controller for the information you give us. This notice explains what we collect, why, who we share it with and what you can ask us to do about it. Last updated July 2026.
1. Who we are
Whales Exterior Cleaning is an owner-operated exterior cleaning business based at 9 Foundry Walk, Thrapston, Northamptonshire NN14 4LS. We are the “data controller” for the personal information described here, which means we decide how and why it is used. You can reach us on 07511 495955 or at whales.exterior@icloud.com.
2. What we collect
- Your contact details — name, phone number, and email address where you give one.
- Where the work is — postcode and property address.
- Job details — the surface, rough measurements, and any photos you send us of the area to be cleaned.
- Your messages — what you send us by WhatsApp, text, email or through the forms on this site, and our replies.
We do not ask for, and do not want, payment card details, bank details or any special category data (such as health information) through this website.
3. Where it comes from
Everything we hold comes directly from you — the quote form on this site, our instant quote tool, WhatsApp, a phone call, an email, or an enquiry through our Google Business Profile. We do not buy contact lists or scrape details from anywhere else.
4. Why we use it, and our lawful basis
- To prepare your quote and carry out the work — this is necessary to take steps at your request before entering a contract, and then to perform that contract.
- To contact you about your enquiry or booking — confirming a price, agreeing a date, and reminding you on the morning of your clean. Same basis as above.
- To keep proper business records — invoices and job history, which we are required by law to retain for tax purposes.
- To improve the service — reviewing enquiries and completed work to run the business better. This relies on our legitimate interests, and never involves sharing your details.
We do not send marketing emails or texts, and we do not add you to any mailing list.
5. WhatsApp messages
If you contact us on WhatsApp, or give us your number and ask us to message you there, we use the WhatsApp Business Platform to send and receive those messages. Some of our replies are sent automatically — for example confirming a quoted price, offering available dates, and reminding you on the morning of your clean.
Your name, number and the details of your job are used to make those messages accurate. You can stop them at any time by replying to say so, or by messaging us the word “stop” — a real person will pick it up from there. Messages sent over WhatsApp are handled by Meta under their own terms and privacy policy.
6. Who we share it with
We never sell your information, and we never pass it to anyone for their own marketing. We do use a small number of trusted service providers to actually run the business, and they only process your data on our instructions:
- Google — our enquiry records and job scheduling are held in Google Sheets and Google Workspace.
- Vercel — hosts this website and the quote tools.
- Meta — delivers WhatsApp messages between us and you.
- Resend — sends the notification emails that alert us to a new enquiry.
Some of these providers are based outside the UK. Where your information is transferred abroad, it is protected by the safeguards required under UK data protection law. We will also disclose information where we are legally required to — for example to HMRC, our insurer in the event of a claim, or a court.
7. How long we keep it
- Completed jobs — six years after your last job, which is the period we are required to keep financial records for.
- Enquiries that don’t become jobs — up to twelve months, in case you come back to us, then deleted.
- Photos of your property — kept with the job record. If we would like to use a before-and-after photo on our website or social media, we will ask you first, and you are free to say no.
8. Your rights
Under UK data protection law you can ask us to:
- tell you what we hold about you, and give you a copy;
- correct anything that’s wrong;
- delete your information, where we don’t need to keep it by law;
- stop using it for a particular purpose, or restrict how we use it;
- send your information to you or someone else in a portable format.
Just call or email us and we’ll sort it — there’s no charge, and we’ll respond within one month. If you’re not happy with how we’ve handled it, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
9. Cookies & analytics
This site uses Vercel Analytics to count page visits so we can see which pages are useful. It does not use cookies for this, and it does not track you across other websites or build a profile of you. We do not run advertising trackers on this site.
10. Changes to this notice
If we change how we handle your information we’ll update this page and change the date at the top. This notice was last updated in July 2026.
